Privacy Policy
Effective October 11, 2026
This policy explains what personal information Toronado Entertainment, LLC (“we”, “us”), the company that makes CueHound, collects, why, and what you can do about it. We are a Florida limited liability company at 219 E N Blvd, Ste C #3111, Leesburg, FL 34748, USA.
It covers:
- cuehound.com, including the free web teleprompter and the updates list; and
- the CueHound app at app.cuehound.com, which is in free beta. Paid plans are not on sale yet, and AI features are not available yet.
Who is responsible for what. We are the controller of your account, sign-in, workspace membership, invite, error-report, bug-report and updates-list information. For the shows, rundowns, scripts and other content in a workspace, the workspace owner decides what goes in and who can see it; we process that content on the owner’s behalf, only to provide CueHound.
If you joined the updates list before the CueHound app opened, the changes in this version that affect your updates-list information take effect on October 22, 2026.
1. What we collect
Your account. You need an email address to create an account. You sign in with a link we email to you; there is no password. We store your email address, your name if you give one, and when your account was created. Each sign-in creates a session record with your IP address and browser type, which keeps you signed in. We also record which version of our Terms and Privacy Policy you accepted and when.
Your workspace and team. When you sign up we create a workspace for you. We store who belongs to each workspace and their role (for example Owner, Producer or Talent). If you invite someone, we store their email address, the role you chose, who sent the invite, and whether it was accepted or revoked. If you were invited, we got your email address from the workspace member who invited you.
What you put into CueHound. We store the shows, rundowns, segments, scripts, timings and notes that you and your team create, and who owns each segment. This content can include information about other people, such as talent or crew names in a script. While a rundown is open, we also keep track of who is viewing it and which segment is live, so everyone sees the same thing.
Error and bug reports. When something breaks in the app, your browser sends us an error report: the error message and technical details of where in our code it happened, the page address and the page you came from (without anything after a “?” or “#”), your browser type and screen size, a random ID for that browser tab, your user ID if you are signed in, and a short list of your last few actions in the app. Those actions are things like which pages you opened, which of our server requests failed, and the labels of the buttons and links you clicked. Labels are what was shown on screen, so they can include names such as a show or segment title. We do not record what you type into forms. If you use Report a bug, we also store your description, the category you chose, your browser type and, if you are signed out and choose to give it, your email address so we can reply. We do not take screenshots.
Voice dictation. The bug report form can use your browser’s built-in speech recognition. That feature is run by your browser’s maker (for example, Google for Chrome), which may process your audio under its own privacy policy. We receive only the resulting text.
If you join the updates list on cuehound.com, we collect what you type into the form: your name and email address (required), your company or production name and what show you are running next (both optional). If you reached the form from an older link that named a planned plan, we also record that plan name. We also record when you submitted it and that it came from cuehound.com.
The free web teleprompter on cuehound.com runs entirely in your browser. The script you paste or type is not sent to us or stored by us. If you turn on “Remember on this device”, your script and teleprompter settings are saved in your browser’s local storage on that device only, so they are there next time. They are never sent to us. Turn the option off or press “Forget” to delete them; clearing your browser’s site data also removes them.
Technical data. Our hosting providers process your IP address and basic request information (such as browser type and the page requested) to deliver the site and app and protect them from abuse, and keep short-lived request logs. Our servers briefly use your IP address in memory to limit repeated form submissions and error reports. To limit repeated sign-ups to the updates list, we also store a one-way hash of your IP address (not the address itself) with a submission count in Google Firebase. We do not yet delete these hashes automatically. Apart from that hash and the session record above, we do not store your IP address.
Cookies. cuehound.com sets no cookies. The app sets sign-in cookies and uses your browser’s storage to remember your selected workspace. We do not currently run page-view analytics on cuehound.com, the app uses no analytics, and we use no advertising tools on either. See our Cookie Policy.
What we don’t ask for. We do not ask for payment details, precise location, or special categories of information (such as health data). Please don’t put special-category information into a workspace unless you have a lawful basis to do so.
2. How we use it
- to sign you in and keep you signed in;
- to run CueHound for you and your team: store your shows, sync changes between everyone in a rundown, and send the invites you ask us to send;
- to find and fix bugs, and to keep CueHound secure and working;
- to reply to bug reports and support emails;
- if you joined the updates list, to email you about the CueHound beta, paid plans, apps and launch, and to understand what kinds of shows and plans people want.
The emails the app sends are sign-in links and workspace invites. We only email the updates list about CueHound, and every such email lets you leave the list. We do not sell your personal information, we do not share it for cross-context behavioral advertising, and we do not make decisions about you based solely on automated processing.
Who sees it. Other members of a workspace see your name, email address and role in that workspace, and the content you add to it. Our service providers (section 3) process it for us. We may also disclose information where the law requires it.
If you are in the UK or EU, our legal bases are:
- performing our contract with you, for your account, sign-in and workspace;
- our legitimate interests in keeping CueHound secure, fixing errors, replying to reports, and letting workspace members invite people and name crew and talent in their shows;
- your consent, for the updates list and for an optional reply email on a bug report. You can withdraw it at any time.
3. Where it is stored and who processes it
We use these service providers today:
- Railway, United States — hosts the CueHound app and its database, which stores your account, workspaces, invites, shows and error and bug reports.
- Cloudflare — hosts cuehound.com and runs the real-time sync service, which keeps a working copy of open rundowns and who is viewing them. To deliver cuehound.com it receives your IP address, browser details and the page you visited. Cloudflare may process this in data centers around the world.
- Resend, a US company, using its European Union (Ireland) sending region — sends our sign-in and invite emails. It receives the recipient’s email address and the email’s contents.
- Google Firebase (Cloud Firestore), United States — stores updates-list entries and the hashed IP counters used to rate-limit the updates-list form. The Firebase project is operated by us and is shared with another Toronado Entertainment product. The entries are kept in their own collection that only our administrators can read.
- CRM-ai, our own internal error dashboard, run by Toronado Entertainment — when an error is flagged as urgent (for example a sudden rise, an error in Show Caller during a show, one that comes back after a fix, or one we flag by hand), the app sends CRM-ai a summary: the error message, a technical fingerprint, how many times it happened, and up to five app page addresses where it happened. The summary has no field for your email address or user ID.
We will update this policy before any new provider processes your information. For example, when AI features or paid plans launch we expect to add Anthropic (to run AI features) and Stripe (to take payments).
We are based in the United States. When you use CueHound or cuehound.com, you send your information directly to us in the US, and our providers process it in the places listed above.
4. How long we keep it
- Account and workspace information: for as long as your account exists. When you delete your account, we delete your account information and sessions, delete any workspace where you are the only member (with everything in it), and remove you from other workspaces. If you are the only owner of a workspace that has other members, make someone else an owner, or delete the workspace, first.
- Shows and other workspace content: until the workspace owner, or a producer, deletes it, or the owner deletes the workspace.
- Sign-in links stop working after 15 minutes, and we delete them within a day after that. Sessions end 7 days after you last use the app, and we delete the session record (with its IP address) 30 days after it ends.
- Invites expire after 7 days. We delete invites 30 days after they are accepted, revoked or expire.
- Error reports: deleted 90 days after the error was last seen.
- Bug reports: a reply email you gave us is deleted when we close the report. After 12 months we also remove your user ID and keep only the description.
- Updates list: until 12 months after CueHound’s paid plans go on sale, or until you ask us to remove you, whichever comes first.
- Request logs kept by our hosting provider are deleted after a few days.
After you delete your account, content you added to a workspace you shared with others stays in that workspace because it belongs to the workspace, but it is no longer linked to your account. Error and bug reports are kept for the periods above, with your user ID and email address removed.
Backups. Google Firebase keeps backup copies of the updates list: daily copies kept for 7 days and weekly copies kept for 98 days. So after we remove an updates-list entry, a copy can remain in those backups for up to 98 days, and is then deleted. We do not currently keep backups of the CueHound app database. If we start, we will add how long they are kept here first.
5. Your rights
You can delete your account, download a copy of your account information, and delete shows and workspaces you own, in the app. You can also ask us to:
- tell you what personal information we hold about you and give you a copy;
- correct it;
- delete it, including removing you from the updates list;
- stop emailing you.
Wherever you live, we give you these rights. That includes the rights to know, access, correct and delete under US state privacy laws, and we will not treat you differently for using them. We do not sell or share personal information as those laws define it.
If you are in the UK or EU, you also have the rights to restrict processing, to data portability, and to withdraw consent at any time. You can object at any time to processing based on our legitimate interests. You can complain to us first at legal@cuehound.com, and to a data protection authority (in the UK, the Information Commissioner’s Office).
If someone else’s workspace contains information about you (for example, your name in a script), contact that workspace’s owner, or email us and we will help.
To use any of these rights by email, write to legal@cuehound.com. We may need to confirm your email address before acting on a request. We will respond within one month, and we complete deletion requests within 30 days of confirming them.
Do Not Track and Global Privacy Control. We do no cross-site tracking, so there is nothing for these browser signals to turn off.
6. Security
We use HTTPS everywhere, sign-in links that expire after 15 minutes, and access controls so that only members of a workspace can see its shows, and only our administrators can see error and bug reports and the updates list. If we learn of a breach that affects your information, we will tell you and any authorities as the law requires. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.
7. Children
CueHound is not directed to children under 16, and you must be 18 or older to create an account. We do not knowingly collect personal information from children. If you believe a child has given us information, email legal@cuehound.com and we will delete it. A workspace may name child performers; that information is added by the adults who run the workspace.
8. Changes to this policy
We will update this page when what we collect or who processes it changes, and change the effective date above. If a change is significant, we will also email account holders and people on the updates list before it takes effect.
